We are looking for a detail-oriented and proactive Executive Assistant to provide day-to-day administrative and operational support to the Director of an Australian advisory and procurement firm. This is a fully on-site work, full-time contractor role based in Sri Lanka.
Responsibilities
- Maintain the client's CRM system - contacts, opportunities, pipeline stages, and data hygiene
- Manage the full quote-to-cash cycle on a procurement marketplace — processing orders, coordinating suppliers and buyers, tracking deliveries, and monitoring invoicing and payments
- Monitor and manage the business inbox daily — triaging, drafting responses, and following up on open items
- Maintain the Google Drive filing system with consistent naming conventions and version control
- Provide diary, scheduling, and meeting coordination support to the Director
- Prepare and format documents to house style and compile routine reports
Must Have
- Proven experience in an executive assistant, virtual assistant, or business administration role
- High standard of written and spoken English — you will write on behalf of the business
- Strong working knowledge of Google Workspace (Gmail, Drive, Docs, Sheets)
- Experience working in a CRM or business operations system
- High attention to detail, especially with numbers, order details, and dates
- Ability to work independently across a time difference with minimal supervision
Nice to have
- Background in procurement, supply chain, or advisory or consulting services
- Familiarity with procurement or B2B marketplace platforms
- Experience managing a senior executive's calendar across multiple time zones
- Strong analytical skills
- A degree or diploma in Business Administration, Management, or a related field
What's great in the job?
- Work directly with the Director. You'll support the decision-maker directly, with real visibility and impact from day one.
- International exposure. You'll work with an established Australian advisory and procurement firm and gain experience that stands out on any CV.
- Variety every day. CRM, procurement orders, supplier coordination, scheduling, and reporting
- Build in-demand skills. You'll gain hands-on experience in quote-to-cash operations, CRM management, and Google Workspace, skills valued by global employers.
- Trust and independence. You'll own your work and your processes, with minimal micromanagement.
- Professional workspace. You'll work from a fully equipped office in Nittambuwa, managed by Aascendora WorkHub, so there's no need to set up your own home office.
- Negotiable remuneration. Pay reflects your experience and skills.
- Long-term growth. It's a full-time engagement with room to take on more responsibility as the business grows.
- Local support team. Aascendora's team on the ground is there to help with onboarding, attendance, and day-to-day questions.
